Position Summary

The Office Manager will report to the Chief of Staff while interacting and supporting other Executives and staff members within the company. This position requires a poised, polished professional that functions with a high level of integrity, confidentiality and excellence. The Office Manager manages all office facility procedures to ensure organizational effectiveness, efficiency and safety. In addition, he/she will manage Administrative/Receptionist personnel.

Key Responsibilities

  • Provides facility management for multiple office locations.
  • Manages and administers Standard Operating Procedures for Emergency Preparedness.
  • Conducts safety inspections regularly, determines corrective activities and implements those as needed. Measures results against standards.
  • Together with VP of Information Security, develop, maintain, test and annually review emergency action plans.
  • Responsible for emergency notification process.
  • Manages both incoming and outbound mail, including the timely distribution to the appropriate department.
  • Manages the daily shipping needs for all Enablecomp offices.
  • Records and maintains seating chart of all employees for use in emergency evacuations.
  • Logs and maintains physical security of all keys for the office buildings, desks and storage rooms, giving access only to those approved.
  • Maintains and replenishes office supplies. Reconciles expenses each month with accounting.
  • Reviews office supply costs and office procedures to determine where improvements can be made keeping company growth in mind.
  • Maintains and implements scheduled maintenance and emergency repairs with Landlord and building service contractors.
  • Contracts and manages office vendor's relationships (cleaning service, repairs, etc.).
  • Manages office space expansions and works with external project manager and other vendors to execute tenant improvements and/or new space build outs.
  • Notify equipment vendor of any printer/copier issues to ensure repairs are made, coordinating regular servicing of equipment and supplies.
  • Supervises Receptionist/ Administrative assistant personnel.
  • Present invoicing for Executive approval and submit to Accounting.
  • Supports HR with the coordination of in office events and celebrations
  • Use initiative to handle a wide variety of administrative support projects.
  • Identifies processes and procedures that need improvement and applies a creative approach to problem solving.
  • Use of independent judgement and discretion as it relates to responsibilities detailed above.
  • Other duties as required.

Requirements and Qualifications

  • High School Diploma or GED required. Bachelor's Degree preferred.
  • 5-7 years' business-related experience; previously served as Executive Assistant or Office Assistant/Manager preferred.
  • 2+ year's supervisory or team leadership experience mentoring and coaching other positions within a department.
  • Knowledge of corporate office administration procedures.
  • Working knowledge of mechanical (HVAC), electrical and plumbing systems.
  • Intermediate experience with MS Office and Adobe products.
  • Equivalent combination of education and experience will be considered.
